Summary:
The Collections Analyst is detail-oriented and proactive with experience in the construction industry, overseeing and managing the collection of accounts receivable. This position plays a key role in maintaining the financial health of the organization by ensuring timely payments from contractors, subcontractors, and clients, and managing lien rights and project documentation. The ideal candidate understands the nuances of construction billing cycles, contract terms, and compliance documentation.
Core Functions:
- Monitor active customer accounts and follow up on past-due invoices across multiple construction projects
- Communicate with general contractors, subcontractors, and project managers to resolve billing issues or disputes
- Maintain accurate records of all communications, payment agreements, and collection efforts
- Ensure timely submission of preliminary notices, lien filings, and related compliance documentation in accordance with state laws
- Collaborate with project managers, estimators, and accounting staff to resolve discrepancies
- Generate aging reports and escalate severely delinquent accounts to management or legal counsel
- Support month-end close processes related to accounts receivable
- Maintain strong relationships with clients while firmly enforcing payment terms

Education & Experience:
Minimum Required:
- High school diploma or equivalent required; Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
- 2+ years of experience in collections, preferably within the construction or contracting industry.
- Knowledge of construction billing processes including AIA billing, lien rights, and retention practices.
- Strong proficiency in Microsoft Excel and accounting systems such as Sage 300, Viewpoint, or QuickBooks.
- Excellent communication, negotiation, and customer service skills.
- Ability to handle high volumes of transactions with accuracy and attention to detail.
- Familiarity with state-specific construction lien laws and deadlines.
- Familiarity with construction contract terms and schedules of values.
Physical Demands & Work Environment:
Work is performed in an office environment. This role will routinely utilize standard office equipment to perform the core functions listed in this job description. This position requires the ability to occasionally lift office products and supplies as well as communicate verbally and electronically. The work is primarily sedentary and requires extensive reading to perform the core functions listed in this job description.
