SUMMARY: Coordinates the operation of receiving, controlling, storing and issuing all items in an accurate and effective manner, so as to serve the supply needs of the clinic on a day to day basis.

ESSENTIAL DUTIES:

  1. Receives all clinic supplies and equipment in a prompt and organized manner.

1.1. Ensures trucks are promptly unloaded as shipments arrive, signs freight bill and/or log sheet and obtains a copy after satisfactory verification.

1.2. Verifies shipments for completeness and damage, noting discrepancies on paperwork, contacting the shipper or carrier as appropriate and noting resolution on paperwork. Notifies Materials Management Director and ordering department of any problem with shipment.

1.3. Locates packing list on all shipments and verifies contents of shipment against catalog number and quantity in computer for accuracy. If no packing list is present, contact vendor to send one and use delivery slip generated by computer. Date and sign packing list and/or delivery slip.

1.4. For shipments coming into the clinic without a purchase order: check with Materials Management Director if shipment is allowed in the clinic, make a copy of all non-system delivery packing lists or freight bills, and ensure that a person signs and dates for the packages upon delivery.

  1. Delivers items daily to appropriate department.

2.1. As needed, contacts Facilities Management Department to inspect and/or assemble items.

2.2. For capital purchases, informs Materials Management Director to assign asset tags to capital purchases, puts tags on items, and keeps log up to date.

2.3. Delivers items with receipts to designated departments on the same day received or next day. Exception to this include items requiring inspection and/or assembly by the Facilities Management Department.

2.4. Receives signature, on the receiving document, of a responsible person within the department, acknowledging receipt of items.

  1. Demonstrates responsibility for appropriate handling of items for distribution and places items on shelves in storeroom.

3.1. Separates stock items and non-stock items accurately during physical receiving process so that stock items may be put in its designated space within eight hours of receipt.

3.2. Stores all cartons with "up" side marked accordingly. Stores all items with labels facing the front and stacked evenly, stores all items six (6) inches off the floor, and stores all items eighteen (18) inches below sprinkler heads so as not to obstruct.

3.3. Rotates stock as to work "first in - first out" issue system to prevent stock deterioration or expiration of sterile products, the oldest product should always be issued first.

3.4. Assures that all cartons are broken down and disposed.

  1. Ensures items are properly pulled and distributed correctly.

4.1. Assures stock items are properly pulled and distributed per the correct issue unit of measure.

4.2. Informs courier there are items to be delivered to departments on their route.

  1. Prepares any merchandise to be returned for credit or repair.

5.1. Assures that items to be returned for credit or repair are properly packaged.

5.2. Properly logs all shipments for tracking and proof of shipment.

5.3. Inspects and packages all items thoroughly, making sure all information given is complete and correct.

5.4. Communicates all information with the Materials Management Director.

  1. Performs clerical duties of the Materials Management department.

6.1. Accurately enters packing list, issues, and other records as directed into materials management system.

6.2. Separates and distributes copies of pick tickets to proper departments.

6.3. Takes temperature of items that are temperature sensitive when received.

  1. Cleans and maintains warehouse.

7.1. Sweeps warehouse weekly.

7.2. Cleans warehouse shelves containing supplies so as to free of dust, dirt particles, and paper trash weekly.

7.3. Breaks down empty boxes immediately.

  1. Performs other duties as assigned by the Materials Management Director.

8.1. Conducts other duties with a team spirit and in the interest of improving the service of the entire department.

8.2. Assists other departments within the clinic as needed in a positive and cooperative manner.

8.3. Communicates all activities and actions to Director of Materials.

QUALIFICATIONS:

Education:

  1. High school diploma or GED

Experience:

  1. Previous experience in the medical field is preferred, but not required.

  2. Basic knowledge of the use and operation of general office equipment (computer, phone, copier, fax)

  3. Working with the public in a courteous and professional manner.

Skills:

  1. Must be able to operate and pass performance skill check list for all equipment to move supplies: drive a van, fork lift, pallet jack, hand truck, flat bed, and carts.

  2. Ability to maintain a positive attitude and provide great customer service under stressful situations.

  3. Ability to communicate in a clear, concise, and pleasant manner in both verbal and written form.

  4. Ability to multi-task.

  5. Ability to adapt quickly to change.

  6. Ability to work both independently and with co-workers.

  7. Ability to use and manage time efficiently.

  8. Ability to follow the direction of supervisory personnel.
