Primary Function

The Firearms Compliance Representative is a crucial member of the compliance team, responsible for ensuring the accurate and timely management of ATF Form 4473 for firearms transfers and the maintenance of all Federal Firearms License (FFL) related paperwork. Reporting directly to the Compliance Officer, the Firearms Compliance Clerk plays a pivotal role in maintaining regulatory compliance within the organization.


Position Responsibilities (including but not limited to):

  • Collaborate with customer service and customers to collect information required for successful form submission. 
  • Ensure that all required fields are properly filled out and that the information provided aligns with regulatory guidelines. 
  • Review and verify all form submissions for accuracy and completeness.
  • Maintain organized records of all FFL-related paperwork to ensure easy retrieval and compliance with recordkeeping requirements. 
  • Regularly update and track the status of FFL paperwork to ensure timely renewals and compliance with expiration dates.
  • Stay current with federal, state, and local firearms regulations to ensure accurate interpretation and application of laws. 
  • Assist the Compliance Officer in conducting internal audits to identify any potential compliance gaps or issues related to firearms transactions and documentation.
  • Work closely with the shipping and receiving team to ensure that proper documentation accompanies firearm shipments. 
  • Verify that firearms leaving or entering the organization are accompanied by the necessary paperwork and any additional required documentation. 
  • Address any discrepancies or issues related to firearm shipments in collaboration with the shipping and receiving teams.
  • Collaborate with sales, customer service, operations, shipping, and receiving teams to ensure a seamless flow of information related to firearms transactions and compliance requirements.
  • Assist in training new employees on proper procedures for complying with regulatory requirements. 
  • Provide guidance and support to team members regarding compliance questions or concerns related to firearms transactions.
  • Generate regular reports summarizing compliance-related metrics for review by the Compliance Officer.
  • Participate in process improvement initiatives aimed at enhancing the accuracy, efficiency, and effectiveness of firearms compliance procedures. 
  • Recommend changes to internal processes based on regulatory updates or industry best practices.
  • All other duties as assigned.

Skills:

  • Critical thinking skills and ability to oversee production and material planning in organized fashion
  • Strong attention to detail.
  • Proficient typist. Serial numbers are typed into ATF bound book software, so it’s very important that the person filling this role will use attention to detail and strong typing skills to not make mistakes.
  • Possesses the patience to ‘do things the right way’ to ensure the business maintains ATF compliance.
  • Good communicator, and strong decision-making skills. 
  • Good team player.
  • Ability to multi-task effectively.

Qualifications:

  • Pass a federal and state criminal background check.
  • High school diploma or equivalent; additional education or training in legal studies, criminal justice, or related field is a plus.
  • Strong attention to detail and a meticulous approach to recordkeeping.
  • Strong communication and interpersonal abilities.
  • Ability to work collaboratively within a team and across departments.
  • Proficiency in using computer software and databases for recordkeeping and reporting.

Physical Requirements:

  • Extended periods of sitting and/or walking (33% - 75% of time)
  • Stooping, bending, twisting, leaning (10% - 25% of time)
  • Lifting of 40 lbs. occasionally (0% - 5% of time)

Work Environment:

  • Climate-controlled office / manufacturing areas 
  • Will be exposed to manufacturing environment where the use and wear of proper protective equipment (PPE) such as safety glasses or side shields on glasses and closed toe shoes are mandatory
  • This position will share an office with Logistics Coordinator, but the role will include frequent visits to nearby manufacturing floor to handle planning, shipping, and receiving duties.
