The Marketing Communications Coordinator is a critical communications role at S&A. Promotionally minded, this individual develops outreach materials and manages promotional vehicles to reach a variety of audiences, including tenants, community organizations, neighborhood partners, and our own employees. The Marketing Communications Coordinator is responsible for working on a wide variety of marketing and advertising campaigns and communications initiatives to advance the visibility of The Fenway, Lyrik Back Bay and other S&A Portfolio assets with the goal of driving attendance, building loyalty, reaching new audiences and meeting brand and company objectives.


Roles & Responsibilities:

  • Work alongside driven and creative marketing team, identifying new ways to promote the various events, programs, series, and projects being executed


Advertising

  • Research new media outlets, including outdoor space, printed publications, and digital advertising space
  • Creates and executes all external promotional communications, both digital and print, including e-newsletters, email platform, digital and traditional advertising, brochures, flyers and rack cards, invitations, posters, billboards and banners, and other direct promotion channels for The Fenway, Lyrik and S&A portfolio assets
  • Coordinates public application and permit process for City of Boston light pole banner program for various assets and campaign rollouts, residential leasing banners, and other programs as required
  • Coordination and management of S&A office and retail leasing signage installation as needed
  • Executes all external advertising placements (physical and digital) including bus shelters, MBTA placements, local publications, and other digital and traditional programs for The Fenway, Lyrik and other portfolio promotional needs as required, including management of the team’s central QR code program for residential, The Fenway and Lyrik promotion.
  • Serve as primary contact with advertising vendors, including:
  • Securing media buys and value add opportunities;
  • Negotiating rates and tracking invoices;
  • Make recommendations based on previous advertising campaign results;
  • Securing ad specs;
  • Communicating details to graphic designer
  • Ensuring timely submission of artwork


Communications & Collateral

  • Implements and effectively utilizes a communications calendar, ensuring planned promotion is scheduled with ample time for copywriting, collaboration with graphic designer on creative/design, and management of print job, placement and/or distribution as required; ensuring all project team members are aware of deadlines and priorities
  • Work collaboratively on written, print, and collateral communication needs with other departments to understand their communications and marketing goals and needs; supporting office and residential communications around neighborhood events/promotion, in building events (emails, Eventbrite management), holiday hours, and policy updates. Responsible for company photography library maintenance and annual photography budget and schedule review.
  • Create and maintain print collateral and marketing materials for events, programs, and as needed to promote traffic generation and event attendance
  • Collaborate with tenants and community partners to promote events and programs (i.e. providing tenants with information on summer program series, cash wrap cards and other physical signage for promotion, providing community partners with promotional materials to share with their data base, etc.)
  • Manage and stock Fenway and Lyrik rack cards, retailer postcards, sandwich boards, and other placement as available


Web & Digital

  • Oversee, claim and enhance as needed all Google My Business listings for the S&A portfolio. Manage the Google Review process, working closely with the Residential Marketing Manager, all GMs, the VP of Portfolio Operations and property teams as needed to respond to all Google Reviews submitted (4 star or less within 48 hours, 5 stars within 4 days).
  • Develops, executes, and tracks public third-party event calendars and identify new ways to communicate event promotion externally; compose polished calendar listings to promote event attendance, neighborhood traffic generation, and program awareness; curate and generate creative, engaging content that meets objectives for multiple audiences across the portfolio as needed
  • Supports the marketing and retail related 1001 Boylston App content for retail promotion, tenant engagement and events
  • Update property pages, employee bios, and other company related website content as needed, execute a full website audit every August, ensuring all updates are addressed


General

  • Ensure the organization’s adherence to established branding standards
  • Provide support to staff around special events as needed and other duties as assigned


Qualification and Skills:

  • You have at least 3 years of experience in a supporting role related to advertising, promotions, and communications that rely on your ability to meets deadlines and maintain accuracy
  • Ability to build relationships with a variety of stakeholders from all backgrounds (i.e. tenants, staff, and neighborhood partners)
  • Ability to work with minimal supervision in a collaborative team environment and manage multiple projects simultaneously; self-motivated and confident
  • Excellent time management skills and ability to work independently, with strong decision-making instincts
  • You are passionate about writing, sharing, connecting — storytelling is in your DNA.
  • You are enthusiastic and an energy-giver that finds it thrilling when you conceptualize ideas that no one else could
  • Attention to detail and excellent organizational skills
  • Determination, dependability, flexibility
  • Advanced computer skills with an eye for design; experience in Adobe Creative Suite or Canva preferred
  • Experience managing external vendors and partners, especially in advertising and design
  • Experience with email marketing software (Mailchimp preferred)
  • Excellent written and oral communication skills; ability to write for different audiences and channels
  • Strong research, writing and editing skills
