Volunteer Operations Manager

Location: United States, Glenview, Flexible Hybrid Schedule

Team: Education

Reports to: Director, Learning Events



Primary Purpose

Provide oversight and support for the operation of CHEST committees and volunteers; promote interaction, engagement, and collaboration of volunteer groups and College activities in support of the College’s strategic goals. Provide staffing, administrative functions, committee management, and project management support to assigned committees.

Provide staffing and project management support to 7 Networks, 22 Sections and Council of Networks. Provide staffing and operational support of the Education Subcommittees, and other groups as assigned.


Perform a wide variety of detailed and complex administrative tasks with minimal guidance. Provide support to the Director, Education as it relates to standardizing and ensuring concierge level customer service for all volunteers.


Essential Functions/Responsibilities

  1. Demonstrate a passion for crushing lung disease and embody CHEST values: honor the team, lead with integrity, leverage passion, cultivate innovation, and have serious fun.
  2. Serve as primary staff liaison to the Council of Networks and 7 Networks, including all aspects of planning and executing meetings and conference calls, management of projects, and written communications such as CHEST Physician and Network newsletter articles. Identify and manage updates to Networks policies and procedures to ensure consistency in support and operations.
  3. Serve as primary staff liaison to 3 Education Subcommittees, and other groups as assigned. This includes all aspects of planning and executing meetings and conference calls and facilitating collaborative work with other staff members, along with designated subject matter experts for each group.
  4. For the annual meeting, lead and collaborate with Networks, to submit germane topics through the annual meeting submission process, as well as plan Network featured lecture sessions. In collaboration, with the Annual Meeting team, identify any conflicts in the program, assist in securing sessions to fill identified gaps in the program and selecting faculty, and provide onsite support for Networks leadership as needed.
  5. Manage, track and identify appropriate Network members to respond to leadership and other organization requests. Coordinate and organize appropriate responses to ensure timely follow-up, and communicate back to all involved the actions or decisions of leadership.
  6. Prepare for, provide support, and attend business meetings at CHEST as assigned. Provide onsite logistical support at CHEST events, program orientations, leadership activities, and projects as necessary.
  7. Work collaboratively with cross-divisional subject matter experts for each assigned volunteer group, including regular check-in meetings, tracking of key committee and volunteer projects, and ensure committee work aligns with group and organizational strategic plans.
  8. Assist in standardizing materials across all volunteer groups, including agendas, minutes, conference call notifications, action items, and other communications.
  9. Assist in coordinating the elections process for open volunteer leadership positions across division. Assist in implementing data-driven and targeted leadership recruitment and retention practices.
  10. Communicate with high-level contacts inside and outside the College including senior staff and volunteer leadership, and leadership from other medical societies, providing the highest level of customer service.
  11. Must be able to participate in conference calls/meetings outside of standing work hours.


Other Functions/Responsibilities

  1. Complete other tasks and projects as assigned.
  2. Provide support to members, committees, faculty, and learners, emphasizing a customer-service, learner-centric approach to all interactions and promoting a responsive, positive environment.
  3. Ensure adherence to all policies and procedures. Maintain data confidentiality and security.
  4. Work collaboratively with staff in other departments and divisions and subject matter experts to achieve shared goals.
  5. Demonstrate a commitment to continual process improvement, the spirit of innovation, and teamwork.
  6. Maintain working knowledge of all systems and workflows required to execute activities (eg, AMS, LMS, submission and review systems).
  7. Must be able to participate in conference calls/meetings outside of standing work hours.



Required Qualifications and Competencies

  1. Bachelor’s or Master’s degree and/or commensurate work/training.
  2. At least 5 years’ experience in a non-profit or professional association or similar professional environment.
  3. Ability to work with high-level volunteers, staff and subject matter experts across divisions to ensure effective partnership with volunteers on related projects.
  4. Ability to consistently complete projects in accordance within given timelines, objectives, and CHEST policy and procedures.
  5. Skilled at project management and performing multiple tasks in an independent and effective manner while demonstrating initiative, resourcefulness, and ensuring timely follow-up in a fast-paced environment. Including being skilled at organizing, structuring, and communicating ideas and information clearly.
  6. Demonstrated skills to apply effective oral, electronic, and written communication methods with colleagues and volunteers. Well-developed verbal and interpersonal skills are essential.
  7. High level of maturity and strong sense of discretion to deal appropriately with sensitive proprietary and personnel information.
  8. Well-developed interpersonal and teamwork skills to effectively collaborate within and across units in order to achieve divisional and organizational goals.
  9. Flexibility and adaptability to changing daily activities and priorities.
  10. Ability to accommodate occasional extended weekend hours, and occasional travel, 1-2 times a year.

Additional Information

The annual base salary range for this position is USD $76,000 - $79,000. This pay range represents base pay only and excludes any additional items such as incentives, bonuses, or other items. CHEST considers factors such as, but not limited to, the scope and responsibilities of the position, the candidate's work experience, education/training, key skills, internal peer equity, and market and organizational considerations when extending an offer.
