Salient Corporation, a developer of advanced management accounting and decision support systems, is seeking a highly organized and detail-oriented Office Administrator to join our team. This position is in Horseheads, NY and will play a key role in ensuring the smooth operation of our office environment.


Education/Experience:

  • High School diploma or equivalent required plus 3 or more years of experience in office management or related administrative roles.
  • Associate or bachelor’s degree in business administration, office management, or related field preferred.


Primary Responsibilities:

  • Greet, assist, and direct visitors, vendors, and employees while following sign-in procedures.
  • Answer, screen and route incoming phone calls.
  • Coordinate special projects and events such as marketing campaigns and luncheons.
  • Proactively manage office supply inventory and procurement.
  • Collect and distribute incoming/outgoing mail, including recording incoming checks.
  • Arrange FedEx shipments for documents, IT hardware, and other items as needed.
  • Maintain a thorough understanding of departmental roles and responsibilities.
  • Assist with meeting set up, travel arrangements, and accommodation for visitors and employees.
  • Monitor facility conditions, coordinate repairs, and communicate with custodial staff and building management.
  • Compile training materials for internal departments when required.
  • Mange building closure procedures as needed.
  • Provide back-up support to Executive Assistant.
  • Input and monitor weekly hours in the NYS LATS time-tracking system, conducting regular audits and entry reviews.
  • Assist with contract requests and eSignature agreements processing.
  • Review and approve weekly hours and input projects in Jira.
  • Enter contracts and track licenses in CRM providing support to various departments for CRM and contract-related requests.
  • Enter projects in Project Management and supporting applications.
  • Monitor in-house projects.
  • Manage building security process and key fob assignments.
  • Other duties as assigned.


Required Skills:

  • Previous experience in office management or related administrative roles.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Attention to detail and problem-solving skills.
  • Ability to prioritize tasks and work independently.
  • Familiarity with time-tracking, Jira and CRM systems preferred.
