POSITION SUMMARY:

The Grants Accountant provides primary accounting function for grant monitoring administration, compliance, grant accounting, and financial reports of awarded grants through their final closing. The Grant Accountant works very closely with the Grant and Restricted Account Manger and serves as the alternate manger.

ESSENTIAL FUNCTIONS:

Set up and maintain new grants:

  1. Request account unit(s) for grant from Business Office.
  2. Route grant checks to appropriate offices for deposit.
  3. Enter indirect cost allocations, match journal entries.
  4. ASSISTS in management of accounts payable and receivable activities for grant subcontracts.
  5. Meet with Principal Investigator (PI) /Office of Sponsored Program (OSP) Director when grant is awarded to review responsibilities for grant management and reporting. Subsequent meetings to maintain communication throughout and at the conclusion of the grant.
    i. With PI/PD, complete template for effort reporting forms.
  6. Update PIs/OSP on available grant funds periodically.
  7. Prepare monthly data for the business office on funding draws from Federal
    Agencies (DOE, NIH, NSF, NIJ)
  8. Prepare/coordinate quarterly reports for Federal Agencies. Contacting/ collaborating with other offices as needed to gather required information for approval by management
  9. Reconcile interim and final financial reports.
  10. Verify final financial reports with Business Office.
  11. Provide grant data for annual University grant audits.

Close grants: Carry out grant closing activities
  1. Monitor compliance with internal policies related to grant funds and any other applicable grant regulations.
  2. Work very closely with the Grant Manager to ensure successful audit. Assist with preparing the Grant Roll forward


SECONDARY FUNCTIONS:
  • Respond to internal/external requests in a timely manner.
  • Assist with training and workshops for all PIs.

SPECIFIC JOB KNOWLEDGE, SKILLS AND ABILITIES
  • Excellent communication skills, both written and oral
  • Ability to communicate processes and procedures required of PI/OSP in grant administration and management.
  • Ability to manage multiple projects, to anticipate information needs of PI/OSP related to grants, and to respond to new situations. Must possess a high level of accuracy and be detail oriented.
  • Excellent interpersonal, problem-solving and organizational skills.
  • Ability to learn new software and technologies quickly.
  • Knowledge of basic accounting skills; knowledge of Federal grant accounting standards is a plus.

Qualifications

Education: A bachelor's degree in Business, Accounting or other related field from an accredited college/university; seminars or courses in grant management

Experience: 3 - 5 years accounting, budget management or related experience. Must be an experienced user with Microsoft Word and Excel; advanced database skills. Experience in grant management preferred.

Licenses or Certificates: None required.
